Privacy Policy

UniDesk Inc. ("UniDesk", "we", "us") operates the UniDesk platform and the unidesk.ai website. This page explains what we collect, why we collect it, and the choices you have.

What we collect

Account data. Name, email, workspace name, and authentication metadata when you create an account or are invited to one.

Workspace content. Tickets, comments, attachments, knowledge-base articles, asset records, and any other data your team creates inside UniDesk.

Integration data. When you connect Microsoft 365, Google Workspace, Slack, or another service, we receive only the scopes you grant — and we use them only to perform the actions you initiate.

Usage logs. Standard server logs (IP, user agent, timestamps) for security, debugging, and abuse prevention. Retained for up to 90 days.

How we use it

  • To run the UniDesk service and the features you and your team use.
  • To support and communicate with you about your account.
  • To detect, investigate, and prevent fraud, abuse, and security incidents.
  • To comply with legal obligations.

AI features

UniDesk Intelligence (our AI features) processes ticket and knowledge-base content you explicitly route through it. We don't use your workspace content to train third-party foundation models. Each AI vendor we use is bound by a data-processing agreement that prohibits training on customer data.

Sharing

We do not sell personal data. We share data with sub-processors who help us operate the service (hosting, email delivery, payments, analytics), under contracts that bind them to the same protections we offer you.

Your choices

  • You can export or delete workspace data at any time from Settings.
  • Owners can request a full account deletion from [email protected].
  • You can disable AI features per workspace if your organization prefers not to use them.

Data residency & retention

Workspace data is hosted in the United States by default. Enterprise customers may request regional residency where available. Workspace content is retained for the lifetime of the account and deleted within 30 days of account deletion, except where law requires longer retention.
